01 · Context

A fast-growing company needs a repeatable first three months.

As SiCepat grew, onboarding had to become structured and efficient. New joiners needed one place for the tasks to finish during probation and the reading recommended by each division's PIC, so they adapt quickly and understand what's expected.

02 · Problem

No system for tasks, to-dos or progress.

  1. No centralised task trackingNo way to create, manage or track onboarding tasks, so progress was hard to follow and the experience inconsistent.
  2. No to-do list for new joinersNew employees couldn't see what to finish, in what order, or by when.
  3. PICs can't see completionBuddies, HR and IT admins had no visibility into progress, so support could come late and milestones could slip.

03 · Process

Three roles, three products.

  1. Admin dashboard (CMS)Create onboarding templates per division, assign tasks to new joiners and PICs, and track progress.
  2. New joiner websiteSee and complete tasks and reading: Confluence, documentation, Figma and more.
  3. PIC websiteBuddies, HR and IT admins see new joiners' tasks and complete their own.

04 · Solution

Clear tasks for everyone involved.

New joiners get a full to-do list for their probation period, reading recommended by admins and PICs, and an easy way to reach the people onboarding them.

Admins build division templates once and generate individual plans by filling in a new joiner's details.

PICs and buddies monitor the new joiners assigned to them and manage their own onboarding to-dos.
